We are seeking a dedicated Administrative Assistant to support the Internal Medicine Residency Program and other rotating learners at Cayuga Health System. This individual will collaborate closely with the Residency Coordinator to ensure smooth operations for our 30-physician training program.

Roles and Responsibilities:

Residency Program Support:

  • Work closely with the Residency Coordinator to manage and streamline the operations of the Internal Medicine Residency Program.
  • Assist in scheduling and coordinating rotations and other educational activities for the residents.
  • Establish strong working relations with GME Program Director and Coordinator.
  • Assist residents with inquiries, including needed files/records, office supplies, wellness supplies, reimbursements, events, research-related needs, scheduling, didactics attendance records.
  • Assist during recruitment cycle.
  • Assist with onboarding and orientation of new residents.
  • Assist with residency program committees and meetings.

Support the operation of the medical library through the following duties

  • Provide library services for Cayuga Medical Center at Ithaca and Schuyler Hospital.
  • Search medical, nursing, and other healthcare information through online databases and other sources, responding to reference and literature search questions.
  • Manage journal and database subscriptions for the Medical Library.
  • Manage all elements of Interlibrary Loan using the National Library of Medicine system DOCLINE. Serve as administrator to our DOCLINE system.

Support other learners and performed other duties as needed

Required Skills and Experience:

  • Associate's Degree
  • Demonstrated ability to build rapport with staff
  • Strong interpersonal skills
  • Excellent communication skills
  • Strong organizational skills and ability to set priorities and multi-task, demonstrates flexibility, teamwork

Preferred Skills and Experience:

  • Bachelor's Degree
  • Healthcare experience preferred
  • Clinical background is a plus

Physical Requirements:

  • Repetitive use of hands and fingers (e.g., Use of computer keyboard).
  • May require lifting and carrying light loads (up to 40 lbs), including boxes, equipment, IV solutions and stooping and kneeling (e.g., to pick up items from the floor, to remove and replace items on lower shelves and to file documents in lower file drawers).
  • Sitting, walking, or standing for long periods of time may be necessary.

Location and Travel Requirements:

  • Hybrid: Onsite at various locations within the region as well as remote work.
  • Twenty hours scheduled during Monday-Friday 8-4:30; primarily on site with the possibility of work from home as determined and/or approved.

Pay Range Disclosure:

  • $20.75 - $24.00 per hour
